Restricting help center access to signed-in users

Protect your help center with restricted access using guest accounts and assigned roles.

2 min read

Managing access to your help center is essential for providing the right information to the right people. With Notiondesk, you can restrict access to your help center in two main ways:

  1. Password: Limit access to your help center using a password, which you can share with authorized users.
  1. Guest Accounts: Create guest accounts with specific roles, which allows you to customize the access and visibility of your help center for individual users.

In this article, we will focus on the "Guest Accounts" option. If you prefer to use the "Password" option, check out our article on setting up password protection.

Enabling guest accounts for your help center

To enable guest accounts for your Notiondesk help center, follow these simple steps:

  1. Log in to your Notiondesk account and navigate to the Settings page.
  1. Scroll down to the Private Help Center section.

Adding Guest Accounts with Specific Roles

Now that you have enabled guest accounts for your help center, you can start adding users with specific roles:

  1. In the Guest Accounts section, click on Add Account.
  1. Enter the user's email address and assign them a role from the available options.
  1. Click on Add. The user will receive an email with an invitation to set their password and enable their account.

Examples of Guest Account Use Cases

  1. Online Course Instructors: If you offer online courses and want to provide exclusive access to course materials for enrolled students, guest accounts can help you manage student access efficiently.
  1. Companies with Private Documentation Some companies may have internal documents or policies that need to be accessible only to specific employees or teams. Guest accounts can help you ensure that only authorized personnel have access.
  1. Membership-based Websites: If you run a membership website or a premium subscription service, guest accounts can help you provide exclusive access to your members, ensuring they receive the content and benefits they're paying for.
